Let’s paint the picture… you just got engaged. Maybe it was a total surprise. Maybe you had a feeling this was coming. Either way, it’s exciting!! You’ve taken the time to bask in the newly engaged glow. During that time, maybe you pinned a few inspiration photos (maybe you are like me and started those board months before getting engaged). Maybe you did some late-night Instagram and Tik Tok doom scrolling. But now it’s time to actually start planning and you’re staring at a never-ending list of vendors wondering…
If you’ve found yourself spiraling between photographers, venues, florists, and DJs all at once, seriously, you’re not alone. This is one of the most common questions couples ask right after getting engaged.
And here’s the truth of it… The order in which you book your vendors matters more than you think. Booking in the wrong order can lead to limited availability, missed opportunities, and having to compromise on vendors you really wanted. So, let’s break it down. Step by step.
Before you book anything else, you need your venue.
Why? Because your venue determines:
Until you have a confirmed date and location, most vendors can’t officially book you anyway. Even a planner. True, there are times when I help couples with venue sourcing and tours, but then they are potentially limited to my availability when booking a venue, and I don’t ever want a couple to feel forced into a date they are going to be celebrating the rest of their lives together.
Pro tip: If you’re flexible on your date, have 2–3 options in mind when reaching out to venues. This gives you more room to secure your dream space.
Once your venue and date are locked in, it’s time to move quickly on vendors who typically only book one wedding per day (and sometimes even one per weekend).
These are the vendors whose availability disappears fast, especially during peak season.
This typically includes:
These vendors are not only limited in availability, they also play a major role in your overall experience. Remember, vibes matter in wedding world!
So, if there’s someone you’ve been following, admiring, or dreaming of working with… Don’t wait. Inquire early. Because nothing stings more than reaching out months later and hearing: “I’m so sorry, I’m already booked for your date.”
Waiting too long here can mean settling instead of selecting, and that’s not the energy we want for your wedding.
Pro tip: If it sounds too good to be true, it probably is. Always have a phone/video/in person consultation with a vendor before signing anything and paying a retainer. And always, always, always make sure you have a contract!
Once your core team is secured, you can take a breath and move onto vendors who often have the ability to take on multiple weddings in a weekend.
These typically include:
Because these vendors often have teams, inventory, or production flexibility, their availability tends to be a bit more forgiving. That said, this doesn’t mean you should wait too long.
The best vendors in these categories still book out, especially for peak dates.
Pro tip: You can only eat the elephant one bite at a time, so don’t feel like you need to tackle everything at once! And remember to lean on your people for help & delegation (*cough cough* your wedding planner).

If you’re feeling overwhelmed, here’s the easiest way to remember:
Book in this order:
If you’re sitting there thinking: “Okay wait… I still need help organizing all of this…”
I’ve got you. I created a free worksheet that walks you through exactly which vendors to book first, and a simple way to track contacts, pricing, and decisions
